Job description

Overview

The People Operations Center of Excellence enables People Operations services at scale. It simplifies and standardises processes, improves data quality and delivers a seamless employee experience across Microsoft. People Operations provides centralised HR support: it handles employee inquiries, manages HR transactions, and uses digital and AI solutions to improve service delivery.

Within this model, the EMEA Offboarding team manages end-to-end employee exits across around 50 countries and many different legal and regulatory environments. The team makes sure every exit is compliant, accurate and on time. This includes sensitive and complex terminations, severance and payroll inputs, termination documents, and coordination with stakeholders. The team's scope is growing. Offboarding is taking ownership of more termination activity once the decision to terminate has been made, including work moving over from People Consulting & Engagement (PC&E).

As a Senior HR Service Advisor (Offboarding – EMEA), you will handle complex offboarding cases from start to finish, including involuntary terminations, job eliminations and other sensitive exits. You will work closely with the business, PC&E, Payroll and vendors. You will also coach advisors in the team and contribute to a more standardised, automated and resilient offboarding model.

Responsibilities

Case management and complex exits

  • Manage offboarding cases from start to finish, including complex and sensitive ones, for employees and managers across EMEA.
  • Process voluntary & involuntary terminations once the decision to terminate has been made.
  • Prepare termination documents, notifications, severance components and payroll inputs, making sure they are accurate and compliant with local law.
  • Support preparation before a termination, such as simulations, calculations and readiness checks with PC&E and the business.
  • Support large restructures (RIFs) in waves: prepare documents and calculations, and coordinate payroll inputs for groups of employees.
  • Handle bereavement and other highly sensitive cases with empathy, discretion and confidentiality.

Stakeholder and vendor coordination

  • Work with business leaders, local HR partners, payroll and Legal on termination actions. Give clear guidance on process, timelines and what is needed operationally.
  • Coordinate Payroll, Benefits, Immigration, Mobility, company car providers and other vendors so exits run smoothly.
  • Act as the first escalation point within the team for issues affecting delivery, compliance or the employee experience. Escalate further with clear recommendations.

Data, compliance and audit

  • Keep data in HR systems accurate and in line with local labour law, global policies and data privacy requirements.
  • Coordinate final settlements and severance payments with Payroll. Spot and fix discrepancies early.
  • Support statutory and internal audit requests, for example by gathering signed termination documents and evidence for authorities.
  • Identify and reduce compliance risks in country-specific and high-risk termination cases.

Team capability and knowledge

  • Partner in creating guidance for termination processing and teamwork within POPS
  • Help onboard and train new joiners. Act as the go-to expert for selected countries or termination types.
  • Create and update step-by-step process guidelines (DTPs), knowledge articles, templates and workflows, especially for complex termination types.

Process improvement and automation

  • Find opportunities to simplify, standardise and automate offboarding processes.
  • Help introduce new tools, workflows and integrations, including Power Apps solutions, ADP integration and the Employee Self-Service Agent.
  • Use AI and digital tools to reduce manual work and improve quality.
  • Track performance metrics and contribute to improvements in quality, speed and fewer escalations.

Qualifications

Required Qualification:

  • Bachelor's degree in Human Resources, Business, Operations or a related field, or equivalent experience.
  • At least 3 years of experience in HR operations, HR shared services or employee lifecycle management.
  • Fluent English, spoken and written.

Preferred Qualification:

  • Experience handling complex or sensitive HR cases, such as involuntary terminations, escalations or compliance-driven processes.
  • Experience with HR systems and case management tools. SAP SuccessFactors (Employee Central), Dynamics CRM or similar are an advantage.
  • Strong stakeholder management and communication skills, including working with business leaders and other HR teams.
  • Knowledge of EMEA labour law, payroll processes and data privacy (GDPR) requirements.
  • Interest in automation, AI tools or process improvement (for example Power Apps or Copilot).
